Website privacy notice · Updated 8 September 2026We use your contact information and preferences to respond and discuss the next steps.
The current website uses a session cookie for forms and secure admin access, without advertising or analytics trackers.
Ask about your information or discuss a privacy concern with our team.
This notice describes the current website supplied by UK Theory Booking. It covers information you submit and the essential technical processing used to operate the service.
This notice covers the UK Theory Booking website, its booking-request form, contact form and postcode search. The service provider named below is responsible for deciding how the information collected through this service is used.
We are an independent booking support service, not part of or associated with the DVSA. Contact our team if you have a question about this notice or your personal information.
Booking requests include your first and last name, email, phone number, address, postcode, test type, selected centre, preferred date and time, and any notes you choose to add. We also store the request reference, its status, dates and staff notes used to manage the enquiry.
The contact form collects your name, email and message, along with the submission date and whether the message has been read. Required fields are marked on each form. Without the requested contact details, we may be unable to handle your enquiry.
The current forms do not ask for payment card details, a date of birth or a driving licence number. Please avoid including these or sensitive medical details in free-text messages.
We use booking details to record your preferences, respond to your request and discuss possible next steps. Where you ask us to take steps towards a service agreement, processing necessary for those steps is based on that request.
For general enquiries and security measures, our legitimate interests are responding to people who contact us and protecting the website against misuse. Where a legal obligation requires us to retain or disclose information, that obligation provides the basis for the relevant processing.
Acknowledging this privacy notice is not consent to marketing. The current website does not run advertising campaigns, marketing subscriptions or automated decisions that have legal or similarly significant effects on you.
When postcode coordinates are not already available in our cache, our server sends the postcode you entered to Postcodes.io to find its location. For Great Britain searches, we also send your search postcode to the GOV.UK centre finder. For Northern Ireland, we retrieve the public nidirect centre list and look up centre postcode coordinates. Your name, phone number and booking details are not included in these lookups. Providers receive these requests from our server.
The database stores postcode coordinates to reduce repeat lookups. Cached coordinates are reused for 180 days before a fresh lookup is needed; this refresh period is not an automatic deletion schedule.
Centre map links open Google Maps only when selected. Maps and other external websites have their own privacy practices. Our search does not request access to your device GPS location.
The web server may record technical information such as IP addresses, requested pages, timestamps and errors. The application uses hashed rate-limit identifiers derived from the connecting IP address to help limit abusive requests.
Administrative access is password-protected. The application validates form submissions, protects against forged requests and restricts staff access to the management area. No online system can promise absolute security.
Authorised staff can access requests and messages to provide support. Hosting, database, backup or technical support providers may process information where needed to operate the service. The postcode lookup provider is described above.
Submitting a request does not automatically send your booking details to the DVSA. If a later service requires sharing with a booking provider, the purpose and necessary information should be explained before that step.
We may disclose information where required by law. The website does not sell your form submissions or share them through advertising trackers.
The appropriate retention period depends on whether your enquiry is still active, what follow-up is needed, and whether there is a legal obligation or an unresolved complaint or dispute. Information should be reviewed and removed when it is no longer needed for these purposes.
Booking requests and messages do not currently have automatic deletion timers in the application. Expired security records and backups need a separate maintenance schedule. You can contact us about a specific record or request deletion, subject to any applicable reason to retain it.
The location of hosting, backups and support access depends on the providers used to operate the live website. The service operator must confirm these arrangements and any international transfers before using them for customer information.
Where processing involves a restricted international transfer, the appropriate legal mechanism and safeguards must be in place. Contact us for information about the arrangements relevant to your enquiry.
Depending on the circumstances, you may ask to access or correct your personal information, request deletion or restriction, or receive information in a portable form. These rights have conditions and exceptions. We may need proportionate information to verify your identity before acting.
Your right to object: you may object to processing based on legitimate interests for reasons relating to your situation. Contact our team and explain the processing you are concerned about.
If we rely on consent for an additional optional purpose in future, you may withdraw it without affecting the lawfulness of processing that took place before withdrawal. You can contact us to exercise your rights without subscribing to any further service.
If you have a concern, contact us with enough information to understand the issue. Please do not include unnecessary sensitive information. You may also complain to the Information Commissioner’s Office (ICO).
We may update this notice when the website or its data practices change. The version date is shown at the top. Changes that introduce new purposes or optional technologies will need to be explained before they are used.
